Privacy Notice
This Privacy Notice describes how I, Jennie Hale, use and protect any information that you give to me when you use my counselling service. I am committed to ensuring that your privacy is protected and I will only use information that you provide in accordance with this policy.
For the purposes of the General Data Protection Regulations (GDPR 2018), the data controller is Jennie Hale, 34 The Green, Ruddington, Nottingham, NG116HH. I am registered with the Information Commissioner’s Office.
Information I may collect
You may give me information such as your name, address, phone number, email address and IP address through correspondence with me via email, texts or phone. When we work together I make factual notes of what we discuss in our sessions in keeping with the United Kingdom Council for Psychotherapy’s (UKCP) Ethical Principles and Code of Professional Conduct. The notes I store on my computer are password protected. The paper notes are kept securely in a locked cabinet. As a member of the UKCP I adhere to their Ethical Principles and Code of Professional Conduct. I am subject to their complaint procedures. If you are unhappy with our work together, I hope you would be able to raise your concerns with me so that we can try to resolve things. How long does Webhealer store contact emails?
My website is facilitated by Webhealer which notes that any enquiry by you to me through my contact form is sent directly to me “by email and then deleted from our systems. They are retained only until we are confident they have been successfully delivered”.
How I use the information
I only use your information with your permission for the running of my business which includes contacting you about appointments, internal record keeping, financial records and to write any letters or reports you request from me.
Disclosure of your information
All my dealings with you and any information that I have about you is confidential unless I believe there is a serious risk of harm to you or someone else, or where I have a legal obligation to share information, such as terrorism, money laundering or radicalisation.
Access to Information
You can request access to personal information I hold about you, by making a request in writing to me. The information can be reviewed in session, unless there is an overriding lawful reason why I am not permitted to do so for example money laundering and radicalisation.
You may request amendments to the information I hold if it is inaccurate. You have the right to ask me to delete information I hold about you at any time. I will do this unless I have a legal obligation to retain it for legal reasons or accounting purposes. You have the right to take your information with you when we end the work. Requests should be made in writing within 3 months of us ending.
Disposal of information
I will securely dispose of all records and notes that I am responsible for three months after we end our contract, unless we agree otherwise or where I have a legal obligation to keep information.
Complaints
If you have a complaint about how I handle your information please contact me in writing. If I do not initially resolve this to your satisfaction, you can contact the Information Commissioner’s Office at https://ico.org.uk/concerns/handling or by phone on 0303123113
